Voicemail & Email

Logging into your email:

  1. Click here to log in to your email or copy and paste “mail.jubileetravel.com/webmail/” into your browser.
  2. Your username is your email, “[email protected]”.
  3. Your password is “TBBname555″ with name being your name and 555 being your extension. For example, “TBBjane300″ or “TBBjessica235″.

Signatures and all other settings are preset to look uniform- so please leave as is.

Vacation Response Message:

To enable the autoresponder, you have to set at least the response body and change the status to ON.

Subject is optional. By default the reply subject will be set to Auto: <original subject>.

Response body is where you put the reason of your absence and any other text that will be sent to the sender.

Vacation start/end is where you define when the vacation response is active. This is optional.

The status field activates the rule. If you always use the same response body it is convenient to disable the vacation rule when it’s not needed and enable again at another time.

Reply sender address is the email address that will be used as the sender of the vacation reply.

Normally the vacation response is only sent if the recipient address of the incoming message is one of your known addresses. Under my email addresses you can add more.

Reply interval is a parameter defines how often the reply to the same sender is generated. When you receive a lot of messages from the same sender in a short time, usually you don’t want to reply to all of them. By default, reply is sent once a day.

Setting up Out of Office:

  1. Hover over the Mail tab
  2. Open Settings
  3. Open Vacation
  4. Under Reply Message, type your preferred details, as per the instructions above
  5. Change to Advanced Settings to adjust my email addresses

Setting up your Email into a Mac mailbox:

  1. In Mac Mail, go to Mail menu and click Preferences or Add Accounts on newer Macs
  2. Click the Accounts icon if in Prefernces
  3. Click “+” to add a new account or select “Add Exchanget” from the list
  4. Enter your email information- username and password as described above
  5. Description is just how the mailbox will appear to you in the sidebar of your mailbox
  6. Full Name is how you will appear as the sender in other people’s inboxes. This can be set to “Name at Travel Best Bets”
  7. If it doesn’t connect automatically, type in “mail.jubileetravel.com” into the Incoming and Outgoing mail server boxes
  8. Select IMAP under Account Type

Setting up your Email onto a Smart Phone:

  1. Open settings then click Mail, Contacts, Calendars
  2. Click Add Account
  3. Choose Exchange
  4. Enter your email information- username and password as described above
  5. Description is just how the mailbox will appear to you in the sidebar of your mailbox
  6. Full Name is how you will appear as the sender in other people’s inboxes. This can be set to “Name at Travel Best Bets”
  7. If it doesn’t connect automatically, type in “mail.jubileetravel.com” into the Incoming and Outgoing mail server boxes
  8. Select IMAP under Account Type
  9. Check or uncheck the apps you wish to connect, we suggest leaving them all checked, then click Save
  10. You will then see your Description name listed under Accounts, click to open
  11. Scroll down to click Mail Days to Sync and set it to No Limit

Your email will be set up when you register, however if something gets changed click here to view the proper settings.

Accessing your Phone Extension from Home:

Always call from the number that you registered with Tracy upon joining, in most cases this will be your cell.

Activating and Checking your Voicemail from Home:

  1. Call 604-669-6607 or toll free 1-877-523-7823
  2. Wait for dial tone and enter *98 then your mailbox number, which is the 3 digit extension that Tracy has assigned to you
  3. Your password is the same 3 digit extension, this can be changed after your first login
  4. This will take you to your voicemail where you can check for messages as well as personalize your voicemail recording

How will I know if I have a Voicemail?

All voicemails will trigger an alert sent to your Travelbestbets inbox letting you know to check your messages.

Voicemails will go to your Travelbestbets extension not your personal number registered from our direct phone program.

Connecting to Another Internal Office Extension:

  1. Call 604-669-6607 or toll free 1-877-523-7823
  2. Wait for dial tone and enter the direct extension that you are trying to reach. For example, you would enter 300 to reach Tracy

 Connecting to our Supplier Directory:

  1. Call 604-669-6607 or toll free 1-877-523-7823
  2. Wait for dial tone and enter an asterisk and then the supplier extension that you are trying to reach. For example, you would enter *001 to reach Air Canada Vacations.

Emailing the Newsletter with a Personalized Footer:

  1. Once you have received that days e-newsletter, click Forward
  2. Now that it is open in a new message, select and delete all text that automatically appears above the newsletter. Once this is done, it should look like a new email.
  3. Click on the Travel Best Bets header, and then click delete.
  4. Drag your signature (found here- we recommend leaving this saved on your desktop for quick access each time) from your desktop into the top (and/or bottom) of the newsletter. We recommend placing it where the Travel Best Bets header was, but it is up to you.
  5. Drag the corners of the signature to adjust the size so that it fits with the the other graphics.
  6. Add your extension into the contact info at the bottom of the newsletter. Feel free to replace “Travel Bets Bets” with your name and/or add your  email, website link, or any other contact information.
  7. Delete the automatic “FWD:” from the subject line.
  8. Send to your client list!
